Cluetide AI ("we," "us," "our") provides a platform that helps businesses monitor and respond to customer conversations across their connected online sales and marketing channels. This policy explains what data we collect, how we use it, and the choices you have.
Cluetide AI is a product of Crescent Solutions Inc., a corporation incorporated in Alberta, Canada. References to "we," "us," and "our" throughout this policy refer to Crescent Solutions Inc.
1. Who This Applies To
This policy applies to businesses and their authorized users who sign up for Cluetide AI ("you," "your business"), and describes how we handle data about your business, your team members, and the public conversations your connected channels surface.
2. What We Collect
Account & Business Information - Name, email address, and authentication details you provide at signup - Business profile information: company name, industry, country, products/services, business size, marketing budget, and sales goals
Connected Channel Data When you connect a channel (e.g., Instagram, Facebook, TikTok, Shopify), we collect: - OAuth access tokens (encrypted at rest) required to access your connected account on your behalf - Public content from your own connected account: comments, mentions, messages, and reviews visible to you as the account owner - Basic account metadata (username, account type, follower counts where available)
We do not access private messages, private accounts, or any content beyond what you explicitly authorize through each platform's official OAuth consent flow.
Usage Data - How you interact with the Cluetide AI dashboard, for the purpose of improving the product - Log data (IP address, browser type, timestamps) for security and troubleshooting
AI-Generated Data We use AI to analyze the content described above and generate: - Sentiment, intent classification, and lead scores - Suggested replies, summaries, and marketing content
Where we estimate attributes we cannot directly observe (e.g., inferred customer demographics or interests), we clearly label these as AI estimates, distinct from directly observed data.
3. How We Use Your Data
- To operate the core product: detecting, scoring, and notifying you about relevant customer conversations
- To generate AI-suggested responses and marketing content, grounded in your own uploaded knowledge base where applicable
- To provide analytics and reporting within your dashboard
- To bill for your subscription
- To maintain platform security and prevent abuse
- To comply with legal obligations
We do not sell your data or your customers' data to third parties.
4. How We Share Data
- Service providers: cloud infrastructure, payment processing (e.g., Stripe), and AI model providers, under contractual data-protection terms
- Connected platforms: only to the extent necessary to operate the connection you authorized — posting a reply you've reviewed and approved, or, on plans where full auto-send is enabled, a reply posted automatically without review, subject to a per-hour rate limit and logged in your account's audit log.
- Legal requirements: if required by law, regulation, or valid legal process
5. Data Retention
- Connected-channel data is kept while your account is active, so your leads and history stay available
- Disconnecting a channel immediately stops collection and deletes the access token we stored for it. Data already collected is kept until you request deletion
- When you request deletion, we complete it within 30 days of confirming your identity, except records we must keep by law. See our Data Deletion Instructions
- Deleted data is removed from backups as they expire, within a further 30 days
6. Data Security
- Encryption in transit (TLS) and at rest (AES-256) for stored credentials and sensitive data
- Tenant-level data isolation — your business's data is logically separated from other businesses on the platform
- Access controls, audit logging, and regular security review
7. Your Rights
Depending on your jurisdiction (including under GDPR, CCPA/CPRA, and PIPEDA), you may have the right to: - Access, correct, or delete your data - Export your data - Object to or restrict certain processing - Withdraw consent for a connected channel at any time by disconnecting it

8. International Data Transfers
Where data is transferred across borders (e.g., to cloud infrastructure providers), we take steps to ensure appropriate safeguards are in place consistent with applicable law.
9. Children's Privacy
Cluetide AI is a business tool not directed at children, and we do not knowingly collect data from individuals under 16.
10. Changes to This Policy
We will notify users of material changes to this policy via email or in-app notice before they take effect.
